Virtual Solutions HQ (“we,” “us,” or “our”) operates virtualsolutionshq.com. This policy explains what personal information we collect through this website, how we use it, who handles it, how long we keep it, and the choices you have.
Client materials and service delivery
Client documents and project communications are handled personally by Sheila Brevard. We do not currently use contractors.
Client materials may be stored on local computers and in cloud-based services. When we prepare deliverables, we may use professional software and third-party service providers that store or handle the content you provide.
These providers have their own terms, settings and privacy practices, including how they handle submitted content, and we do not control them. We do not sell client documents. Our confidentiality commitments are described in our Payments and Refund Terms.
Information we collect
- Free resource signup (The Calm Strategy Resetâ„¢): your name and email address, entered in our signup form.
- Content Audit application: your name, email address, business name, website, type of work, your content challenge and goals, where you publish, and any additional information you choose to share.
- Contact form: your name, email address and message.
- Client project information: documents, drafts, professional histories, business information, and communications you provide when we work together.
- Technical information: basic information your browser sends, such as IP address, browser type and pages visited, as described under “Cookies and similar technologies” below.
Please do not include sensitive personal information, such as government ID numbers, financial account numbers or health information, in any form or in any documents you send us, unless we have specifically requested it through an appropriate arrangement.
How we use your information
- To send you the free Calm Strategy Reset you requested.
- To review your Content Audit application and reply to you.
- To respond to messages and inquiries.
- To evaluate inquiries, perform agreed services, prepare deliverables, and communicate with you about projects.
- To operate, secure and improve the website.
We do not sell your personal information.
Email signup, delivery and unsubscribing
When you sign up for the Calm Strategy Reset, your name and email address are stored with our email service provider, MailerLite, and added to a subscriber group for that resource. An automated email then delivers the guide to you. Signing up for the guide does not sign you up for promotional emails. If we offer additional emails in the future, we will ask for your separate permission.
Every email we send through MailerLite includes an unsubscribe link. Using it stops further emails from that list. You can also email us at the address below to ask us to remove you.
Content Audit application and email processing
Applications and contact messages are sent to us as email. We use Microsoft 365 to send and receive this email, and the website sends notifications and automatic acknowledgments through it. Application information is not added to our MailerLite lists and does not trigger marketing emails. Copies of emails generated by the website are kept in the site’s email log for 7 days and then deleted automatically.
Service providers who handle information
We share information only with providers that help us operate the website, communicate with you, and deliver our services: our website hosting provider, MailerLite (email signups and delivery), Microsoft 365 (email), cloud storage and file services, and professional software used to prepare client deliverables. They process information to provide their services to us and have their own privacy practices. We may also disclose information when required by law or to protect legal rights.
Cookies and similar technologies
Our website hosting provider adds a script to our pages that it describes as monitoring performance to make the website faster. We do not control or configure that script, and we have not independently verified what it records. Pages that show the MailerLite signup form load MailerLite’s script, which may use cookies or similar technologies so the form can work and its performance can be measured. You can control cookies through your browser settings. Blocking them may affect how some features work.
How long we keep information
- Routine inquiries (contact messages and Content Audit applications that do not lead to work together): approximately 12 months.
- Ordinary client records: including client documents stored on local computers or in cloud services, approximately three years after our work together ends.
- Email subscribers: until you unsubscribe or ask us to delete your information.
- Website email logs: 7 days.
We may keep information longer when needed to meet legal, tax or accounting requirements, or to resolve a dispute.
Your choices and rights
You can ask to access, correct or delete the personal information we hold about you, and you can unsubscribe from emails at any time. Depending on where you live, you may have additional rights under local law. Contact us and we will respond within a reasonable time.
Security
We use reasonable administrative and technical measures to protect information. No method of transmission or storage is completely secure, so we cannot guarantee absolute security.
Children
This website is not directed to children under 13, and we do not knowingly collect their personal information.
Third-party links
Our website may link to other sites. We are not responsible for their privacy practices.
